Configuring Bulk Mail Settings

You can control the email processing on the PolicyTech server when using the Bulk Mailer option. This method can enhance performance for end users by balancing the load between notification processing and end user processes.

Configure Bulk Mail Settings

  1. Click Settings & Tools > IT Settings, and then click Email Settings.

  2. Click the Bulk Mail Settings tab.

By default, the Use Bulk Mailer is selected. With Bulk Mailer enabled, instead of most generated emails being sent immediately to the mail server, emails are put in a file and sent in bulk each time the Scheduler runs. This option works when the Scheduler is running (Disable Task Notifications option is not selected).

  3. Click to clear the Use Bulk Mailer option, or leave the selection, and do any of the following:

    • Click to clear Use Bulk Mailer to disable this option.

    • For Mail Threads Used by PolicyTech, type a number of processing threads. The threads and therefore the number of emailing processes run simultaneously. The default setting is 1. This option only appears when the Bulk Mailer is enabled.

Important: Increasing the number of processing threads could result in the emailing processes delivering more emails than the mail server can handle.

    • For Messages per Interval, type a number of how many emails from the queue will be processed and sent to the mail server. The default setting is 100. This option only appears when the Bulk Mailer is enabled.

    • For Messages per Queue File, type the maximum number of emails a queue file can contain before PolicyTech creates another one. The default setting is 100. This option only appears when the Bulk Mailer is enabled.

  4. Click Distribute Bulk mail by BCC to enable the server to send a message and have a blind carbon copy email sent to all recipients, and then do the following:

    • For Recipient Name, type the name users see in the From field of each BCC message.

    • For Recipient Address, type the email address of the individual or entity that will be sent an email.

Note: If the email server is configured to require valid send addresses, the email address you enter for Recipient Address must be valid. Otherwise, you can enter any value in that field to avoid messages piling up in the recipient address inbox.

  5. Click Save.
