Editing a Notification Email

You can edit emails in the Task Notifications, Content Change Notifications, and Miscellaneous groups on the Email Lists tab of the Email Manager.

Important: Use the following instructions when editing all but the Welcome email. For additional instructions, see Sending the Welcome Email.

Edit a Notification Email

  1. Click Settings & Tools > Company Setup, and then click Email Manager.
  2. On the Email Lists tab, expand a subgroup, and click the name of the email you want to modify. For a list of the available emails, see Email Notification Lists.

  3. Click to edit any of the items shown. If applicable, click to see a Help message about this piece of text, or click to see an alert.

    Note: Once you start making changes, click Reset or Reset All as needed, at any time to revert to the original text.

    Important: If the text contains variables (certain content item properties inserted into the text from the PolicyTech database), they are listed immediately below the Edit header. In the screenshot above, for example, %1% is a variable that will be replaced with a user's full (first and last) name when this email is generated. The variables available for a particular piece of text can be deleted or typed just like any other word. When typing a variable, make sure it appears exactly as it is shown in bold text in the variable list.

  4. If other languages have been added, an editing box for each language is displayed. After editing the English text, make changes to translations as needed.
  5. (Optional) To see how the edited email will look when PolicyTech generates and sends it, click Preview. The email displays using the current email template. 
    • If the email contains conditional text, a View as menu displays. Select different user roles to see the email with other conditional text.

  6. When finished editing the email, click Save, and then click Close.
